VFS Global South Africa: Visa Application Guide [2026]

VFS Global is the official outsourced partner that handles in-person visa, permit and passport applications for the South African Department of Home Affairs (DHA) and for foreign missions based in South Africa. If you have ever tried to apply for a work visa, a spousal visa, a permanent residence permit or a Schengen visa, the appointment, biometrics and document submission very likely went through a VFS Global Visa Application Centre.

This 2026 guide explains exactly what VFS Global does in South Africa, the centres in Pretoria, Johannesburg, Cape Town, Durban and Gqeberha, how to book an appointment, what to bring, how to track your application, the fees you can expect, and how to handle the most common problems applicants report (no appointments, payment errors, missing reference numbers). Use our free SA ID number validator to confirm your ID structure before you arrive, mismatches are one of the most common rejection causes at the counter.

What Is VFS Global in South Africa?

VFS Global is a service provider, not a government department. Under contract to the South African DHA, VFS Global operates the network of Visa Application Centres (VACs) where applicants for temporary residence visas, permanent residence permits, study visas, work visas, passport renewals and Zimbabwean / Lesotho Exemption Permits hand in their documents and biometrics.

VFS also acts as the outsourced application partner for several foreign embassies and consulates in South Africa, including the United Kingdom, the United States, the Schengen states (Germany, France, Italy, Netherlands and others), Canada, China, India and the United Arab Emirates. This is the reason the same VFS office that takes your South African work visa documents may also handle your UK visit visa or your Schengen application, depending on the location.

VFS Global does not decide your application. The DHA or the foreign mission keeps the adjudication function. VFS Global captures your biometrics, scans your documents, takes payment for the service charge, returns your passport when ready, and provides the online tracking portal.

South Africa VFS Global Application Centres

VFS Global operates seven DHA Visa Application Centres across South Africa. All centres accept walk-in appointments only when slots are available online, queue-up at the door is not permitted for visa work.

Operating hours are typically 08:00 to 16:00 Monday to Friday, excluding South African public holidays. Document submission cut-off is 15:00 at most centres. The centres are run-on-time, late arrivals are usually turned away and forced to rebook.

Visa Categories Handled by VFS Global SA

VFS Global processes all DHA visa and permit applications submitted inside South Africa, including:

First-time SA Smart ID applications are not done at VFS, those go through eHome Affairs and a Home Affairs branch. VFS handles the foreign-national track and South African passport renewals only.

How to Book a VFS Global Appointment

The appointment system is fully online. There is no phone booking and no walk-in booking. The flow is:

  1. Open the SA VFS portal. Go to visa.vfsglobal.com/zaf/en/dha. Always type the URL manually or use a saved bookmark, phishing clones are common in Google Ads results.
  2. Create or log into your account. First-time applicants register with an email address and create a password. The portal sends a verification link, which sometimes lands in spam.
  3. Select your visa category and centre. Choose the visa type matching your DHA-1738 form (or BI-947 for PR) and pick your preferred VAC.
  4. Pick an available slot. Available appointments display in 15-minute blocks. Premium Lounge (paid extra) and standard slots are listed separately.
  5. Pay the VFS service charge. Payment is by credit/debit card or instant EFT. The booking is provisional until payment clears.
  6. Receive your booking confirmation. The PDF includes a unique reference (AURN) which you must bring printed to the appointment.

If no appointments are showing for your category at your centre, do not panic. New slots release in batches, often at 06:00 South African time. The portal also reopens cancelled slots throughout the day. Refresh, do not refresh-spam, abusive request rates trigger a temporary IP block.

What to Bring to Your VFS Appointment

The exact document list depends on the visa type. The DHA category guides on this site list the per-visa requirements in detail. Common items everyone needs:

  • Printed VFS appointment confirmation (with AURN reference)
  • Original valid passport plus a clear photocopy of the bio page
  • Completed and signed application form (DHA-1738 for temporary visas, BI-947 for PR, BI-9 for passport renewal as covered in our BI-9 form guide)
  • Two recent passport-size colour photographs against a white background, 35mm x 45mm
  • Proof of payment of the DHA application fee (R1,775 for most temporary visas, R4,425 for PR)
  • Supporting documents (sponsorship letter, financial statements, medical certificate, radiology report)
  • Police clearance certificate from SAPS and from every country lived in for 12+ months since age 18
  • Yellow fever certificate if applicable

Originals plus one set of legible photocopies. VFS scans your documents at the counter, the original packet is sent to DHA Pretoria and only returned with your decision (which is one of the reasons not to submit your only certified copies).

VFS Global Fees and Service Charges (2026)

Two separate fees apply to most visa applications: the DHA application fee (paid to the government before the appointment) and the VFS service charge (paid to VFS at booking or at the counter). The DHA fee changes infrequently, the VFS service charge is adjusted annually.

ServiceDHA FeeVFS Service Charge
Temporary visa (Section 11, 13, 18, 19)R1,775R1,350
Critical Skills VisaR1,775R1,350
Permanent Residence (Section 26 or 27)R4,425R1,550
Passport renewal (DHA pilot)R600R1,425
Visa waiver (Section 31)R1,520R1,350
Premium Lounge (optional)+R500 to R1,000
Courier return of passport (optional)+R230
SMS status updates (optional)+R85

Premium Lounge buys you a faster lane and a dedicated counter, the underlying processing time at DHA is unchanged. Most applicants do not need it. Courier return is genuinely useful, especially if you live outside the centre's city.

Tracking Your VFS Application

Once your documents have been submitted, the VFS Global tracking portal lets you follow the file as it moves between VFS and DHA. The status flow is:

  • Application submitted at VAC: physical packet received, scan complete
  • Despatched to DHA: packet couriered to DHA Pretoria
  • Under adjudication at DHA: in the queue for an immigration officer
  • Decision made: approved or refused
  • Returned to VAC: packet on its way back to your application centre
  • Ready for collection: pick up at the counter or wait for courier

Three tracking options are available. The official VFS Global portal at visa.vfsglobal.com/zaf/en/dha/track-application asks for your reference number and surname. The legacy tracking site at vfsvisaonline.com still works for some older categories. SMS status updates (the R85 optional service) push major milestones to your phone but lag behind the portal by a few hours.

Realistic processing windows in 2026: Critical Skills 8 to 10 weeks, General Work 12 to 16 weeks, Spousal 8 to 12 weeks, Permanent Residence 12 to 24 months. The DHA service standards document is at dha.gov.za.

Common VFS Problems and How to Fix Them

Three issues come up over and over again on SAFFAs forums and Reddit's r/askSouthAfrica.

1. No appointments available. The most reported VFS pain point. Slots are released in waves, typically early morning (06:00) and sometimes mid-week. Set a phone alarm and refresh once at 06:00. Do not use third-party bots, your account can be flagged and the booking voided.

2. Payment failed or pending. The VFS payment gateway sometimes deducts the fee but does not return a confirmation. Wait 30 minutes, log back in, the appointment usually appears under "My Applications". If not, email the VFS support address listed on the receipt page within 48 hours.

3. Lost reference number (AURN). Without the reference you cannot track and you cannot rebook. Recover it by logging back into the VFS portal under "My Applications", or use the "Forgot reference?" link with your surname and email.

VFS Global vs eHome Affairs vs Embassy Direct

South African nationals applying for Smart IDs, passports and birth certificates from inside the country go through eHome Affairs and a bank-branch Home Affairs office, not VFS. The two systems are completely separate.

Foreign nationals inside South Africa go through VFS for everything: visa applications, PR, passport renewals (for SAFFAs the DHA pilot routes via VFS), and waiver applications. Some foreign missions (UK, USA, Schengen) require you to apply through their VFS partner because the embassy itself does not accept walk-in applications.

South Africans applying for foreign visas while overseas usually apply through that country's own consular partner (TLScontact, BLS, CKGS) rather than VFS, although VFS still handles many missions. The SA passport renewal you do at a VFS office in London or Manchester is the same DHA process routed through VFS UK.

Premium Lounge and Value-Added Services

VFS offers four optional paid services on top of the base appointment:

  • Premium Lounge: dedicated waiting area, faster check-in, snacks. R500 to R1,000 depending on city.
  • SMS status updates: text messages at each tracking milestone. R85.
  • Courier passport return: passport delivered to your registered address rather than collected. R230.
  • Form filling assistance: VFS staff completes your form for you. R200 to R350 per form.

None of these speed up DHA's adjudication. If your application is rejected on documentary grounds, Premium Lounge does not change the outcome.

Frequently Asked Questions

Is VFS Global part of the South African government?

No. VFS Global is a private company contracted by the DHA to operate Visa Application Centres in South Africa. The DHA still makes every visa decision, VFS handles the front-end logistics.

Can I apply for a South African visa without VFS Global?

If you are outside South Africa, you apply through the South African Embassy or High Commission in your country, which usually routes through a local visa partner. Inside South Africa, all temporary residence, PR and waiver applications go through VFS. There is no walk-in to a DHA office for these categories anymore.

Why are there no VFS appointments available?

Slot availability is uneven across categories and centres. Critical Skills and General Work usually have the longest waits. Slots release in waves, typically at 06:00 SA time. Cancellations also reopen slots through the day. Refresh the portal page (do not refresh-spam) or try a different centre as a workaround.

How long does VFS take to process my application?

VFS itself does not process applications, the DHA does. Typical 2026 DHA processing times: Critical Skills 8 to 10 weeks, General Work 12 to 16 weeks, Business 8 to 12 weeks, Spousal 8 to 12 weeks, PR 12 to 24 months.

Can I change my VFS appointment after booking?

Yes, up to 48 hours before the appointment. Log into the VFS portal, select "Reschedule Appointment", and pick a new slot. The R1,350 service charge is not refunded if you cancel without rebooking.

What happens if I miss my VFS appointment?

You forfeit your slot and your VFS service charge. The DHA application fee is non-refundable too. You must rebook from scratch. Always arrive 15 minutes early, security screening at the door eats into the slot.

Can VFS reject my application?

VFS staff can refuse to accept a clearly incomplete packet, missing forms, no passport photos, no proof of DHA fee payment. They cannot refuse a complete packet on substantive grounds, only DHA can decide whether to grant or refuse the visa.

Verify Your ID Before Your VFS Appointment

One of the more frustrating reasons applications get held up is a typo in the ID number that the applicant did not catch. If your application references an SA spouse, child or sponsor's ID, run the number through our free SA ID validator first. It checks the 13-digit structure, the date of birth, the citizenship digit, and the Luhn checksum in under a second.

For more on the ID number anatomy itself see South African ID Number Format Explained and the identity document number guide. For first-time SA ID applications use how to apply for an SA ID.

VFS Global is the gateway every foreign national needs to navigate to live and work legally in South Africa. The system can be frustrating (appointments, payments, tracking) but it is workable with the right preparation. Bring complete documents, book early, and use the tracking portal religiously after submission.
